JOB DESCRIPTION

JOB TITLE:            Inventory Clerk

DEPARTMENT:   Inventory/Accounting

REPORTS TO:       Comptroller

STATUS:                 Full-Time, Non-Exempt

RATE OF PAY:      DOQ

 

SUMMARY: The Inventory Clerk is responsible for maintaining the County’s fixed asset inventory control system in accordance with the rules and regulations of the Mississippi Office of the State Auditor and the guidelines established in the Mississippi County Fixed Assets Management Manual.

This position ensures accurate documentation, tracking, reporting, and verification of county-owned property and equipment. The Inventory Clerk performs periodic inventory audits, maintains records of asset additions and disposals, and prepares the annual inventory report required by state law, along with other duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintain the County’s master fixed assets inventory ledger and all supporting documentation in accordance with policies and procedures prescribed by the Mississippi Office of the State Auditor.
  • Record and maintain property and equipment records, including general fixed assets, by posting additions, transfers, and deletions in a timely and accurate manner.
  • Reconcile additions to fixed assets with county expenditure records and supporting documentation.
  • Reconcile deletions or disposals of assets with documentation such as sales receipts, transfer forms, or surplus records.
  • Conduct periodic physical audits of county inventory and verify asset locations and condition.
  • Coordinate with county departments to verify inventory records and ensure proper tagging and tracking of county property.
  • Maintain accurate records of inventory numbers, asset descriptions, purchase information, location, and department assignment.
  • Prepare the County’s annual inventory report listing all fixed assets and present the report to the Lamar County Board of Supervisors on or before October 1 of each year.
  • Submit a copy of the annual inventory report to the Mississippi Office of the State Auditor no later than October 15 of each year.
  • Assist departments with proper procedures for asset acquisition, tagging, transfers, and disposal.
  • Maintain inventory files and documentation for audit purposes.
  • Provide assistance during internal and external audits as requested.
  • Perform other related duties as assigned by the Comptroller.

JOB REQUIREMENTS:

  • Must possess and maintain a valid Mississippi driver’s license.
  • Must be able to read, write, and communicate effectively.
  • Must be able to work Monday through Friday, 8:00 a.m. to 5:00 p.m., unless otherwise required by operational needs.
  • Must be willing to attend training sessions or seminars related to inventory control, accounting procedures, or state audit requirements.

KNOWLEDGE AND SKILLS:

  • Knowledge of basic accounting and inventory control principles.
  • Ability to maintain accurate records and attention to detail.
  • Ability to interpret and apply policies and procedures related to county inventory management.
  • Strong organizational and time management skills.
  • Excellent customer service and communication skills.
  • Ability to work independently and collaboratively with various county departments.
  • Proficiency in computer applications including Microsoft Word and Microsoft Excel.
  • Ability to operate standard office equipment including calculators and 10-key adding machines.
  • Knowledge of Delta Computer Systems software or other governmental accounting systems is preferred.

 EDUCATION AND/OR EXPERIENCE:

  • High School Diploma or G.E.D. required.
  • Prior office experience involving data entry, recordkeeping, or administrative support required.
  • Experience in accounting, inventory control, or governmental record management is preferred.
